The Wize Way
Episode 218: Inside WizeHub: How Firm Owners Build Freedom One Step at a Time
Use Left/Right to seek, Home/End to jump to start or end. Hold shift to jump forward or backward.
Have you ever finished a training, felt completely clear on what to do next, and then looked up three months later to find nothing in your firm had actually changed?
In this episode, Raul takes us inside the WizeHub for a full walkthrough of the
tools built to close that gap. From the Freedom Map steps to the Task Hub, he
shows how firm owners turn what they've learned into work that has an owner, a date, and a place to be followed up, so freedom gets built one step at a time instead of staying an intention.
You'll learn:
✅ How the Freedom Map sequences the path to a firm that runs without you, laid out as Discover, Plan, Execute, and Measure
✅ Why every step carries its own tools, resources, training, and project, so you are never hunting for the next action
✅ How to break a step like appointing a senior client manager into the position description, the A and B client analysis, and a capacity planner placeholder
✅ How to hand those smaller pieces to your admin assistant or production manager so progress stops depending on you
✅ How to link a step to your executive or weekly managers meeting so it lands on an agenda instead of a to-do list
✅ Why learning about a role does not let you mark the step complete, and what finished actually looks like
✅ What to record when you put a step on hold, so it's ready the day your firm is
If you've got steps sitting at 70% complete because the next move felt
too big to start, this episode is your reminder that momentum comes from one bite of the elephant, not the whole thing at once.
This is a visual walkthrough, so if you want to see inside the WizeHub as Raul
navigates each section, tune in to the episode on YouTube.

Why The Hub Matters For CEOs
SPEAKER_02Opening the conversation to this topic that I'm going to present today, I was thinking in uh what is one thing that we can achieve today with something to do and can impact straight your business. And it's this like the task hub and the training models, the big and robust structure of like self-accountable software that you can use to achieve the goals. And it's not just specific goals, it's the wise model that you can apply there and feel like you're actually going and getting success with that. I think some of us, when we are facing problems at this point, we can look back and problems are definitely different than five years ago. Probably now we are having problems with a million dollars revenue. And five years ago it was 200, but still problems, you know. So for that, let's let's jump on the YSO. That it's the exciting part of this, and it's here. I am using my test profile, so that way you will be seeing like a little bit empty, but no worries. It helped me a lot to test and navigate it there. First of all, like when we are working in a specific place in the YSOP, we will have these stars, and it's super useful for the things that we are using because this is gonna be here. Now we are going to the training models, and the training models it's what used to be the wise vault. All the wise program has been here in this platform, so you can write here, review the information, and just like continue resolving your issues by just looking for the answer here.
SPEAKER_05I'm loving that one login route. I love it, it's so good to have everything in the Y Tub.
SPEAKER_02Yeah, it was a really common question, Christy. When people say, like, hey, my pipe, probably my password is not working. Well, it used to be like two access, not anymore. But it this is being a big and fantastic word from Selena and and all the Y's team uh to migrate it the information here. One of the goals and the things that we have speaking regarding this, it's like the YSO software, it's helping the business owners to achieve the goals uh when they are sitting in the CEO chair, not in the production chair. Sometimes people have arrived with me and say, like, hey, where do I put the monthly bookkeeping for this client? It's like, no, no, no, like this software is not designed for that. This software it's when you're you're sitting in the CEO chair, and you need to take decisions and actions in order that your firm it's it's being your firm, not you
Training Modules And One Login
SPEAKER_02working for it. As you can see, I have already one in progress. This is gonna help us like super visual to see like in which place we are and and which thing we need to like complete. So opening here, and first you will find the information and the video. Like this is this used to be the 132, if I'm not wrong, because I I've sitting like too much times the the wise bolt, and and if I'm not wrong, it was in 132 videos, and well, resources probably more than that. So here you will find everything, you know, like the pictures of the ideal teams, resources, like the data's policy, all that information, it's gonna be here. Something that that I feel like super important to say, like this project, it's super robust, and we're 100% sure that it's working because Christy, Jamie, team, it's applying this to their firms, and we have seen like so much progress, like so much freedom. I have had the opportunity to be here in WISE when Christy is sharing with us, like, hey, I'm gonna go to uh Europe for the first time without my computer. So it's something that we're seeing not just with the people that it's working in WISE, with also with our clients. I can say Christy because she's here and it's a great example, but it's the same thing that we have seen with our clients. But I think it's apply.
SPEAKER_05Yeah, absolutely. It's one of the things I love. We practice what we preach. We live and breathe wise in our own firms, and that's what helps us know with confidence that it is what other firm owners need to be doing as well. And, you know, again, seeing it all mapped out in the wise hub, not having to go into the wise vault and then back into the hub. It's all in the one central place. The the searchability is so much better. Selena's working super hard on tagging every single resource with the role that it relates to. So there's going to be continued evolution. You can mark things as completed, you can put them on hold, you can come back to them, you can share the links from here to team members that you want to have a look at, something in particular if you're working on implementing a policy and you need your admin assistant to take a look at something and adapt it for your firm. You can simply, as Ral's showing us, copy the link and give that link to your team member, and then they will be able to format it and document it for your firm. So it's very user-friendly, and we're continually adding new resources as well. So Jamie and Brennan started from step one of the freedom map. So you'll see some new content, you see them aging backwards, these co-founders of ours. It uh it's at the a transition from the old videos that we used to have into the new ones. So um, yeah, really encourage you. Those who've been around for a while, it's really worthwhile going back to step one and seeing what's changed, and those who are new getting the benefit of all of this new material and resources. And Ral, it'd be great just to touch on you may need to go into a different step in here, but to see how the resources and tools component as well flow through.
SPEAKER_02The resources I hear it's are there, but I think that tools we're still working on that from what I in investigated. So tools, it's gonna be appearing soon. So tools, it's the area that we are connecting with the hub. So when you guys are arriving, yeah, Selena.
SPEAKER_00Actually, um, there are some training modules or steps that already have tools linked to that.
Tools Resources Search And Notifications
SPEAKER_00So if the certain steps that you are in, freedom of step that you are in does not have any applicable tools, whether it's a Youth tool or an external tool, it will not be there. We can actually let me uh get an example.
SPEAKER_05So many, so many different rules, but you're gonna get the right one.
SPEAKER_02Definitely it's too much. And uh what I would like to say about this, Christy, and in my experience with the hub clients, here is the starting point. Sometimes they don't know how to resolve an issue and they have been through the the issue for for a long period. And here we're just looking to get like, I don't know, problem with marketing or problem with bookkeepers, like how to delegate those specific things, things in specific. We have we can have here the starting point that it's where I can find the gold of this information.
SPEAKER_05And just quickly, route to the little notification icon at the top. That's that's a great one to make sure everyone's aware of what's in there.
SPEAKER_02Yeah, here you will be notified if you are regarding meetings, regarding tasks that you have. We are developing a part that you will be receiving uh emails just as a part of notification, but uh, we are still like designing that part, like just to be like uh in case that you're sharing with an employees, and employees are not, they don't need to be here every single day, so they are losing those notifications. So probably we're we're working on that. But here it's a like important section on the updates or projects that you're updating, and yeah, all that information. You can use wherever you like, and we are gonna visit that section in the manage users in in a section so you can decide it which employee have access to this. We have this decided that you guys can decide who can have access for this or not to keep it private.
SPEAKER_03Yeah, are there videos or just written word or a bit of both?
SPEAKER_05We might just hold questions to the end if we just get through this part, Sean, and then we'll make sure we cover that. Okay, thank you. Okay, yeah. Yeah, so when you click on the tools section, so where there are integrated tools in the wise hub already, then you click on that tools tab, and then you'll see that it refers to the scorecards and has that little pop-out.
SPEAKER_02Yeah, exactly. Like in the training models, we are gonna adapt this specific section also. But here in the Freedom Map, all the steps that are related with a Wise Hub step will will have a connection here. Taking advantage that we are here and in the in the Freedom Map. This is this is something that for me important to mention. Like you can like uh own this project like full with these new tools that we have here in uh CDs. These four sections will belong to the wise hub. These sections are not editable, these sections are the things that we provide to you, so you will have uh as we visit it, tools, resource, training models, the project, all what you need as an information. And here in minutes, task, and attachments, you will own these sections to you. So you can create your task, create your uh specific minutes. Like I have choose that Jogan will be my senior client manager uh this day, and uh, and because he has these traits, and and I I believe like he's gonna be the person. Things like that to keep the records.
Tasks Meetings And SMART Accountability
SPEAKER_02How did you take the decision? How have you applied this information that you find here? And uh let's go there.
SPEAKER_05So I guess to Sean's question and point, this is where where there is the option to the freedom map steps, not the freedom vault trainings, but the freedom vault steps. You can add a task to you know, Sean complete this ideal lifestyle or ideal income calculator, and then it's assigned to the person, you give it a due date. Let's keep it smart, specific, measurable, attainable, realistic, time bound. So we know who's going to do it, what's required from them, when it needs to be done. It's a critical thing to get done and any additional notes that are needed. So the freedom map steps you can add the additional information onto, and then the freedom vault where we showed before, where you can copy the link to the resource. That's where you could put that into a separate task in the task hub to review this resource. So there is that functionality, a couple of different ways to get there.
SPEAKER_02Yeah, that's exactly right. See, like uh here in the execute section, we're gonna have the task hub. We have created uh select the income. It's the task that we have created like in specific with data activity. In this case, I select uh like for another employee. This is how you can create it and add it to another employee. But see this logo here, it's because this is coming from a freedom vault or from a freedom map step. See, so everything is linked. You know, like the task that you're seeing there, it's linked to that section. So you're not losing. You can create the task like select an employee, select an employee, like three tasks exactly the same, but if they are linked to different activities, you will be able to measure, like, okay, this is talking about this employee, like who's gonna be the C the CFO, who's gonna be the marketing manager, who's gonna be the senior production manager. But ideas to that these specific sections, you own take ownership of this, uh, trying to be accountable in this side, and and you can add your notes. Like this is your your project at the end of the day. Let's go back here. So uh one important uh thing that to mention regarding this and the structure of this, it's see here it's discover plan execute measure, same as this in this left menu. So the activities that are added here are in plan all that belongs to this section, the 43 steps will be related with this plan section. With this, we will have accuracy in the things that we are adding in the training models, and also you can be easy to navigate it in the left menu. So sometimes we are loose in in this section, and where to find the capacity planning. Well, if you're doing something related with the the planned section, it's gonna be here. Easy. I love the resources, and uh let me just look for this. Is a global search, so if you're looking for real things, uh like this so here in resources here in this specific section in the wise vault, this was probably a need to research to select the specific one, but in the wise vault, this used to be the biggest or one of the biggest resource uh provider talking about like how it's creating an ideal teams, like how to select like uh offshore employees, what is the structure of the seven people, why we are telling you guys to create a team of seven people, communication, all this information, like there the resources it's something great because this is where you can get an example, read it and apply to your firm uh as a document. Then arriving in the tools, you can apply it inside the Wise and have like more leave more experience with with the problem that you're experimenting and get different point of views with that.
SPEAKER_05And I think too, Raoul, it's really important that you know it's great to be looking at the resources, it's great to be downloading them and looking at how you can implement them in your firm, but also look at how you can update the information in your WISE Hub. So your WISE Hub becomes a live current feed of your business when you are recruiting new people. Make sure that part of your onboarding process includes adding them as a team member to the WISE Hub, updating their salary, updating their productivity expectations, their location, their email, all of those things, make sure that that information is flowing back into your WISE Hub so that at any point it's it's a live source of information. When you're completing the ideal team's resources, also go back into the tool and draw them out, put them into that picture. Otherwise, you haven't completed the steps. When you've only learned the information, you've only, you know, listened to the tools, you're not actually doing. And this is where we really want to help you guys to be accountable by using your task hub and making a note to okay, next time I've got Wise Hub time in my diary, I've got to add the documents or the images or the picture into the ideal teams. Okay, so you don't have to remember it in here, but it's going to be a prompt when you go into your Wise Hub, you look at your tasks and you get something done to completion. Otherwise, we end up with lots of half-started projects and things that aren't complete. So I really encourage you to really use every part of each step, each training, so that you're getting things done. Otherwise, you're only going to be at 70, 80% of a step or or even lower if your firm's not quite ready for it. You know, smaller firms who aren't quite ready for a production manager, you might learn about the role, you might learn about the joy that a production manager brings. You can't mark it as completed until you've got one. So you leave it open and maybe you put a future dated task in. I want a production manager by the 2nd of February 2027. So that's the date it's going to be assigned in my task hub. So you know it's always there for you. And you can be adding your notes into the minutes and things like that. So yeah, really use every part of the hub.
SPEAKER_02And Christy, at the end, it's not just mark as complete. Like you can keep here the record, like, why did you mark this as complete? Like, okay, or I am putting this on hold because my firm is not prepared, probably for that step in specific. When we're talking about for or not, for example, like like merger and acquisition, like probably the firmware's not ready, but put it on hold. It's something that in the future it's gonna be super important to your firm, but keep in mind, keep like what it's the possibilities, the opportunities that you have, but keep the information there. Even in that step, for example, how I use uh that step, like if my firm is not ready for that, like put their information regarding like what are the things that you are seeing on a merch or an acquisition for future references, like uh things that Jamie shared in the in the trainings that it's like super, super important for that. But yeah. So this is the the training model that it's the the wise vault. Uh all the videos regarding the project, the the wise program, and uh the freedom map projects are actually steps that you need to complete. In the wise vault, you will have information, examples, like stories of Jamie and Brent and Ed Chan that will complement all the information. But when we arrive to the Freedom Map projects, it's action and keep accountable on that side. Moving here in the task hub, this is a section uh as we visited where you can just be managing that, see like what it's in your WhatsApp, what it's in progress, being accountable on that side. See, like you can just drag and drop to do in progress, like things that you need just to super easy, you know, to to move these, like really feel like how the things are going and if we are putting these on hold and what is the reason or if it's completed. But I think it's work on your firm.
SPEAKER_05Yeah, Ralph, can you show us from in here and then we'll go into the other parts of the freedom vault of adding a task? So when you're in your task hub and you want to add a task, can you just show us through that process?
SPEAKER_02Yeah, sure. Here in the in the right section, it's just add a task. We are like so.
SPEAKER_05I think we all know the red asterisk means you gotta put something in there.
SPEAKER_02Yeah. Okay, so uh we're just adding hire a senior client manager by by the end of the year. If this is already being, for example, you're the owner in your having your meetings with your HR department or somebody who's in charge of the hiring or the interviews, and you already create a meeting in that section. Here is the meeting. So, see, like uh, I don't know. I want to add here the test. And if we link this to the wise training models, you can also put here the link, how you're like getting the information on hiring this person, in in which things you are getting, like the specific points of what do you need from that person specific. You can find uh just add it here the link and like important information.
SPEAKER_05And I love this bit. So uh obviously we're just looking at test data, so it's not as perfect as I'm sure all of your Wi-Fubs are. But if you go to a current active meeting, maybe you're looking at your executive meeting because it there is a financial impact and you want to make sure that it's part of the strategy, or you're in your weekly managers meeting, you choose the meeting. And then if this task or this agenda item doesn't exist yet, you can create it on the fly and that will flow back into your meeting agenda when you next go in there. So that's really great.
SPEAKER_02That's right.
Overwhelm Micro Steps And Next Support
SPEAKER_02Indeed, it's just to have the entire environment of being accountable and not lose the pattern if you're in the task or if you're in meetings, everything will be connected. And you can like basically look for the line and where this belongs.
SPEAKER_05Yeah. So that's if you want to add it to a meeting. So again, everything should have a place. So it either belongs to a meeting that you've got, whether it's just a meeting with yourself, we we all need self-accountability, not just accountability for others. So it may be your own meeting that you have, and then you can add it in. And you can also attach it to a Freedom Map coaching step if it relates to, you know, you might then want to add it to the hire an SEM or appoint an SEM task.
SPEAKER_04Yeah, curious.
SPEAKER_02And boom, it's already linked here. Basically, the we're trying to create a a Wise Hub that is super friendly at the time that you're like managing your firm, like trying to have like all the information together and uh and not lose the path. Uh uh, something that the or or the feedback that that I receive in specific, like super coming in, like people feel like a little bit overwhelmed of the amount of of the steps that they are seeing here, or the amount of information that it's inside of here. But remember what Jay. Amy always mentioned it and all the mentors mention it, like work one thing at a time. Like it, we we don't need to complete all the steps by the next week. Like we just need to get a project, see like what it's all the information that we have related with that, and then apply it. You're you're gonna be like super good when you like uh resolve the issue that you're going through, and uh it's being resolved. Like it's just keeping like in that cadence cadence uh of being completing the the waste freedom map project.
SPEAKER_05And just remember you eat your elephant one bite at a time. So even something like hire or appoint an SEM, you may in the Freedom Map projects add micro steps to it. You first need to identify the position description for a senior client manager. You need to look at your client um analysis, who are your A and B clients, which clients will this senior client manager be working with? It's not just go and hire one and hope that all goes well. There's a lot of planning that you want to do in the background. It might be update budget and capacity planner with placeholder for new hire. So you can really chunk down the steps. And then you don't have to do all those steps. The beauty of really chunking it down into the small is you can have your production manager maybe help depending on their access levels to the wires hub. You can get them to add the placeholder person, or you can get them to help you look at the functions. Maybe your production manager is being a bit of an assistant client manager. They can help with some client analysis. Your admin assistant can help download the position description. Then you can look at that with your assistant client manager, or you know, there's lots of things you can do to magic this amazing person into your firm and chunking it down so that you know the the micro steps to achieve it is so much more attainable than the big meaty task of hire a senior client manager. Oh my goodness, what does that look like? So again, it's it's using your task hub to help you be more accountable to actually achieving rather than being an ostrich. I'm I'm a self-confessed recovering ostrich. I do like my head in the sand a bit, and I'm trying really hard to stop putting it in there. But sometimes when I have a big thing to do, that's where I hide for a little bit. But when I get it chunked down and I know what's the one little thing I have to do first to build momentum, oh, I can do that in no time. But if I have to do the big thing, that's harder. So it's it's really about utilizing the accountability that the task hub helps you achieve.
SPEAKER_02That's right, Christy. And for example, like if you're like completing a step in your block, you identify like which things are you getting, like blocking in the wise hub or with uh you need a specific advice. You can arrive to the next like uh Tuesday or or Monday today's coaching calls, and you already like getting the notes there, like I need to get this from Christy of her team from Thomas in in the coaching call and try to achieve like like getting the most of the project that you can. Yeah, so that's all that uh I have for this specific section. I would like to to mention that if you guys would like to go like further and do like one-on-one review with this, you can always go here in in the wise blueprint, and here it's uh my calendar link. So, in in case that you would like us to to review this section and give your guidance there.
